Commerce platform

Shopify and payments.

Store platformShopify

Our store is hosted by Shopify, which processes personal information so the storefront, checkout, orders, security and related services work.

Shopify Consumer Privacy Policy ↗
Payment processingSecure providers

The provider shown at checkout receives the information required to authorise and process payment. We receive transaction status and references, not your complete card details.

Shopify may use affiliated companies and subprocessors in other countries. Its role and processing depend on the services enabled for our store. You can use the Shopify Privacy Portal to learn about and exercise choices relating to Shopify’s own processing.

05
Recipients

Who receives information.

We share the minimum reasonably necessary with organisations that help us deliver the purposes above:

  • 01
    Shopify and store providers

Hosting, checkout, accounts, security, order management and approved store functionality.

  • 02
    Payment and fraud providers

Authorising transactions, handling refunds, preventing fraud and meeting financial rules.

  • 03
    Warehousing, delivery and returns partners

Fulfilling orders, arranging heavy-item collection and resolving delivery issues.

  • 04
    Support, warranty and repair partners

Providing troubleshooting, repair, replacement, safety and aftercare where relevant.

  • 05
    Professional and public bodies

Accountants, insurers, lawyers, regulators, courts, law enforcement or tax authorities where necessary or required.

  • 06
    Business change recipients

A genuine buyer, investor or adviser during a proposed sale, investment or reorganisation, under appropriate confidentiality safeguards.

06
Your choices

Marketing and cookies.

MarketingOptional

We send promotional email or text only where consent or the limited existing-customer exception permits it. Every marketing message includes a simple opt-out.

Order messagesNecessary

Confirmations, balance reminders, production updates, delivery, safety, returns and warranty communications are service messages—not marketing.

Non-essential trackingYour consent

Analytics, personalisation or advertising storage and access technologies operate only in line with the consent choices required for your location.

Strictly necessary technologies support functions you request, such as security, checkout and remembering basket contents. These do not normally require consent, but we still explain them.

You can unsubscribe from marketing using the link in a message or by contacting us. Withdrawing consent does not affect processing already carried out lawfully and does not stop necessary service communications.

07
Storage limitation

How long we keep information.

We keep identifiable information only for as long as needed for the purpose collected, including legal, accounting, safety and claims requirements. We then delete or anonymise it.

01Orders, pre-orders and tax recordsGenerally 6 years

From the end of the relevant financial year, or longer where a legal exception applies.

02Returns, support and warrantyCase + claim period

For the service relationship and a reasonable period needed to handle rights, safety and legal claims.

03MarketingUntil opt-out or review

We stop active marketing when you unsubscribe and may retain a minimal suppression record so we respect that choice.

04Cookies and analyticsProvider-specific

Durations are explained in the Cookie Policy and controlled according to your consent.

Retention can be shorter or longer if the information is no longer needed, a dispute is active, a safety issue arises, the law requires it, or you successfully exercise a deletion right.

08
UK data protection rights

Your information. Your rights.

01Access

Ask for a copy and information about how it is used.

02Correction

Ask us to correct inaccurate or incomplete information.

03Erasure

Ask for deletion where there is no lawful reason to keep it.

04Restriction

Ask us to limit use in certain circumstances.

05Object

Object to direct marketing and some legitimate-interest processing.

06Portability

Receive eligible information in a structured, machine-readable form.

07Withdraw consent

Change your mind at any time where processing relies on consent.

08Complain

Raise a concern with us or the Information Commissioner’s Office.

Make a privacy requestEmail returns@flowie.co.uk

Tell us what you need and provide enough information to identify the relevant records. We may ask for proportionate identity evidence. We normally respond within one month, subject to lawful extensions.

Start request

You are not normally charged. A reasonable fee or refusal may apply only where a request is manifestly unfounded or excessive, as the law permits. Some rights are qualified and we will explain if an exemption applies.

You may complain to the ICO at ico.org.uk. We would appreciate the opportunity to resolve the concern first, but you do not have to contact us before approaching the ICO.

09
Protection and location

Security and international transfers.

We use appropriate technical and organisational measures designed to protect information against accidental loss, unauthorised access, alteration or disclosure. Access is limited to people and providers who need it for legitimate purposes.

No online service can promise absolute security. If a personal-data breach creates a legal notification duty, we will notify the ICO and affected people as required.

Information may travelProtection must travel with it.

Shopify and other providers may process information outside the UK. Where required, we rely on recognised adequacy regulations, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard. You may contact us for information about relevant safeguards.

We do not currently make decisions about you based solely on automated processing that produce legal or similarly significant effects. Payment and fraud providers may conduct their own checks under their privacy notices.

10
Connected products and updates

App, changes and contact.

Flowie app and Wi-Fi controlA separate notice before data collection begins.

This website policy does not yet describe the final companion-app platform. Before the Flowie app collects personal information, we will provide clear app-specific privacy information covering the provider, device data, permissions, purposes, retention, transfers and controls. We will not quietly repurpose website-order data for an undisclosed app use.

We review this policy and may update it when our services, providers or legal duties change. The latest version appears here with its effective date. If a change materially affects how we use existing information, we will provide an appropriate notice before the new use begins.
